How does AI reading of invoices, contracts and orders work?
The system reads a document from a scan, photo or PDF, recognizes its type and pulls out the fields you need, such as amounts, dates, numbers and party details. The result goes to accounting, your ERP or another application. Documents where the system is unsure land in a queue where a person sees a suggestion and confirms it in one click. Nobody retypes data by hand, and control stays with you.
What does implementing a document analysis system involve and how long does it take?
We begin by collecting real documents, including the worst ones: skewed scans and unusual layouts. On those we build a trial version and measure which fields are read correctly. Then we add the verification queue and integration with the target system. We work iteratively, so further document types are added in stages. Duration depends on the number of types and scan quality, so we set the schedule after testing on your own material.
What determines the cost of automating document reading?
The main factors are the number of document types, how varied they are (one supplier or hundreds of layouts) and scan quality. The required accuracy matters as well, because the fewer errors you can accept, the more elaborate the verification has to be. Integrations with accounting or an ERP and contract content analysis add scope. We base the estimate on a sample of your documents, because that shows how much work real reading takes.
Will AI make mistakes reading invoices and contracts, and what about confidentiality?
Mistakes happen, so the system does not assume it is infallible. Each field has a confidence level, and doubtful documents go to a person. For contracts, AI points out clauses and risks, but legal judgment stays with a lawyer. Documents are often confidential, so we restrict access by role, encrypt data and follow practices aligned with ISO/IEC 27001. Where needed, we choose solutions in which documents never leave your own infrastructure.
What happens after launch when new document types appear?
The system is built to grow. We add a new document type in a later stage, using corrections your staff make in the verification queue, which show where reading fails. We can also monitor quality and react when a supplier changes an invoice layout. The code, configuration and documentation belong to you, so further development can be done by our team or yours.
